The American Center of Research, a nonprofit institution dedicated to advancing knowledge of Jordan and the interconnected region, past and present, seeks an Administration Assistant. This full-time position requires residence in Amman, Jordan.
The Administration Assistant provides administrative and operational support to ensure the efficient functioning of the office. As needed, the position will scan documentation and otherwise support grant operations. The position is responsible for processing administrative documents, assisting with financial paperwork, handling online applications, maintaining records, supporting facility and library operations, and assisting with day-to-day office activities.
The Administration Assistant’s responsibilities include:
- Prepare, process, and follow up on official correspondence, letters, memos, and other administrative documents.
- Maintain organized filing systems, both electronic and physical.
- Scan, copy, archive, and retrieve documents as needed.
- Assist with general office administration.
- Prepare checks, payment vouchers, and supporting documentation (PRs and POs) for review and approval.
- Ensure certain paperwork is complete, accurate, and properly filed.
- Support in the submission of visa applications and supporting documentation through online portals or official letters.
- Support the preparation of online applications for events, conferences, workshops, and related activities.
- Follow up on application statuses and communicate updates to relevant staff members.
- Maintain records of submitted applications and required documentation.
- Provide coverage for library operations on designated Saturdays, and other days as needed, possibly including certain holidays.
- Assist library visitors with basic inquiries and access procedures.
- Assist with reception and visitor support when required.
- Assist in preparing for the public lecture series and events.
- Perform other duties as assigned.
Qualifications and Experience:
- A diploma or bachelor’s degree in a relevant field.
- 1–2 years of experience in a similar function.
- Excellent interpersonal and communication skills.
Salary and Benefits: This is a full-time position (1.0 FTE), resident in Amman, Jordan. The total compensation value will be approximately $10,000 to $12,000 annually, which includes salary, comprehensive health insurance, social security (U.S. or Jordan), securing residency and work permits in Jordan (if needed), dental insurance, a retirement plan, annual paid vacation based on length of service, annual paid sick leave, holidays, and other benefits. The specific salary will be based on experience.
